Cold Emails: Best Practices
1. Subject Line
Your subject line should convey credibility, relevance, or a similar genuine connection immediately.
Good options
- Working with [Name / Brand / Project]
- [Your Name] x [Recipient / Company]
- Transfer from [Mutual Contact] | [Your Name]
- Because [Recipient] with [Mutual Contact] | [Your Name]
Laws
- If you have a real connection, make it a priority.
- If you don’t have big numbers, use your strongest real credibility marker: institution, publication, notable past work, relevant partnership, role, or strong work example.
- Do not exaggerate or create a connection.
2. Greetings
Spontaneous to polite and less formal.
Use it
- Beloved [Name],
- Hello Mr./Ms. [Last Name],
- Hello [Name]
Avoid
- “Yes, Ferris”
- “Hey bro”
- False instant familiarity
3. Section 1: Who You Are + Why This Matters
Keep this to two sentences at most.
Sentence 1:
Who you are, and one clear line of legitimacy.
Sentence 2:
Why you reach out, and exactly what you give to the other person.
Template
my name is [Name]and I [role] of [company/project]where we [one-line credibility marker]. I reach about [specific opportunity]which I believe can be valuable to you because [clear benefit].
Important
- Don’t make the recipient click just to find out who you are.
- The email itself should carry basic credibility.
- Hyperlinks can support your point, but they shouldn’t do all the work.
4. Section 2: Vision
Again, keep this to two sentences at most.
This is where you define:
- what you want to do
- why is it important to them
- why are you an honest person who has done your homework
Template
I have been following [specific work / initiative / project]and I think there is a strong possibility of this [specific collaboration or angle]. My hope would be [briefly describe scope]in a way that is useful to your team and relevant to your audience / recruitment / product / mission.
This section should make them think:
“This person understands what we are doing.”
5. Section 3: A Clear Call to Action
Keep this to two sentences at most.
Be specific. Don’t ask bluntly to “negotiate something.” Don’t bury your phone number in the signature.

You can also add:
I was happy to keep it to 10 minutes. (If you promise 10 minutes, keep it to 10 minutes.)
6. Easy-Out Line
Use this at the end:
If you’ve read this far, I really appreciate it. And if you’re too busy to get back to me, I totally understand.
Best Ways
- Keep the body short: three short paragraphs, about two sentences each
- Show loyalty early
- Make their value clear
- Make the question clear
- Hyperlink wisely, but don’t rely on links alone
- Avoid attachments unless necessary
- Enter your phone number clearly
- Put the phone number in the last sentence, it can’t be buried in the signature
- Use a clean signature
- If you promise 10 minutes, keep it to 10 minutes
Rules to Follow
- Send only one follow-up
- Wait about a week
- Don’t keep posting “bumping this up”
- If they don’t respond, move on
